Bookkeeping doesn’t have to feel like a mystery. There are a few simple tricks that accountants use every day that can save you time, frustration, and a whole lot of second-guessing.
Here’s one of my favorites:
The Rule of 9
If you’re reconciling an account and your difference is divisible by 9, there’s a really good chance you’ve transposed a number.
What does that mean?
It usually looks something like this:
You entered $54 instead of $45
Or $1,260 instead of $1,206
The difference between those numbers is divisible by 9, which is your clue that something got flipped.
👉 Example: Your reconciliation is off by $81
81 ÷ 9 = 9
That’s your sign to go hunting for a transposed number
Why This Matters
Instead of digging through every single transaction line by line, this trick helps you narrow down the problem fast. It’s one of those little things that can turn a 30 minute headache into a 5 minute fix.
A Few More Quick Tips
If your difference is exactly double, you may have entered something twice
If your difference matches a transaction exactly, it may be missing or duplicated
Always start by checking the largest or most recent transactions first
